The four stages
WHO DOES WHAT, AT EVERY STAGE
A rental is a handoff. The clearer the split of responsibility, the fewer things go wrong on the day - so here is ours, in full.
Stage 01
QUOTATION
Share your event requirements and the catalogue numbers you want. We come back with a detailed, costed proposal built around your event - not a generic price list.
Your side
- Send dates, venue and guest count by WhatsApp or email
- Share catalogue numbers, or just send your run sheet and let us build the list
- Flag anything unusual — outdoor positions, tight load-in windows, overnight functions
TWR's side
- Read the venue before quoting — access, power, lift and gate constraints
- Build a costed, itemised proposal against your requirement
- Flag anything the property will want approvals or documentation for
- Suggest alternatives where an item won't suit the position
Stage 02
CONFIRMATION
Once your order is confirmed, every selected item is prepared and packed for your event. Each product goes through a quality check before it leaves our warehouse.
Your side
- Confirm the final list and the delivery window
- Share the on-site contact for the day and the venue's banquet coordinator
- Confirm power availability at each equipment position
TWR's side
- Reserve your inventory against the dates — no double-allocation
- Quality-check, clean and pack every item before dispatch
- Prepare gate passes and vendor entry paperwork with the property
- Confirm crew size and load-in slot
Stage 03
ON EVENT
Our team is present on site to manage delivery and setup of every item, so each detail is executed on time and to the standard the property expects.
Your side
- Have someone available at load-in to confirm positions
- Nothing else — installation, testing and cabling are ours
TWR's side
- Clear hotel entry formalities and complete the paperwork
- Deliver, place and install every item across guest rooms and banquet spaces
- Conceal all wiring; polish mirrors; test every unit under power
- Photograph the completed setup and share it with you and the property
- Stay through the function where equipment needs an operator
- Sign off only once you are completely satisfied
Stage 04
CLOSURE
Post-event, our team manages collection and logistics. A quick inspection confirms every item is accounted for and returned in proper condition.
Your side
- Confirm the teardown slot with the venue
- Nothing to pack, move or return
TWR's side
- Return at the scheduled time and remove every rental item
- Complete the required exit documentation with the property
- Inspect and account for all items on collection
- Leave the venue clean and spotless
Why it matters
MOST DELAYS HAPPEN AT THE GATE
Not with the equipment. A vendor without a pass, a missing indemnity form, a crew that booked the wrong lift slot — that's where an hour disappears on a load-in day.
Access already mapped
We know which service lift takes a portable AC unit, which entrance takes a genset, and what time the banquet team releases the room.
Presentation standard met
Uniformed crew, concealed wiring, and photographic documentation shared with the property for their records after every setup.

AND DESTINATION EVENTS
The Wedding Rentals supplies event and wedding equipment on rent to five-star properties across India. We work with wedding planners, production houses and hotel banquet teams.
Typical hotel and banquet bookings draw across the catalogue - portable AC units, air coolers and mist fans on rent for open lawns and ballrooms; walkie talkies and Clear-Com systems on rent for crews working across a large property; portable safes and mobile security pouches on rent for jewellery, gifting and phone-free ceremonies; digital standees and TV screens on rent for welcome messaging and event schedules; and vanity mirrors, clothing racks and steamers for bridal suites and green rooms.
Destination events need longer notice — around 21 days standard and 45 days in peak season, since transport is planned alongside the booking.
